We are looking for Administration and Facilities Management Executive you will be the core of the company's operations and activities. Your work will enable the company to maximize productivity by simplifying collaboration and connection with one another. You will partner with all employees to help them achieve their goals and objectives as well as work with the team.
Your Responsibilities:
Travel Management
• Coordinate domestic and international travel bookings, including flights, hotels, visas, insurance, and local
transportation.
• Ensure compliance with company travel policies and budget guidelines.
• Prepare travel itineraries and provide travel-related information to employees.
• Liaise with travel agencies, airlines, hotels, and vendors for reservations and issue resolution.
• Track travel costs and maintain travel expenditure records.
• Support emergency travel changes and last-minute travel requirements.
Administration Support
• Manage office administration activities and coordinate with vendors and service providers.
• Handle office supplies procurement and inventory management.
• Coordinate courier services, visitor management, and meeting room bookings.
• Support facility management activities and ensure smooth office operations.
• Process invoices and maintain records related to administration and travel expenses.
• Maintain administrative databases, records, and documentation.
Vendor & Compliance Management
• Coordinate with travel and administration vendors.
• Ensure vendor invoices are processed accurately and on time.
• Support contract renewals and vendor performance monitoring.
• Ensure compliance with company policies and local regulations.
Employee Support
• Assist employees with travel-related queries and reimbursements.
• Coordinate accommodation and logistics for visiting employees, customers, and auditors.
• Support employee events, training programs, and town halls as required.
What You'll Bring:
• Bachelor's degree in business administration, Commerce, Hospitality, Travel Management, or related field.
• 2-5 years of experience in administration and corporate travel coordination.
• Experience working with travel management systems and vendors.
• Strong organizational and coordination skills.
• Good communication and interpersonal skills.
• Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
